Exhibition Rules & Regulations for the 2026 SDG Asia(Required)

Exhibitor Manual for the 2026 SDG Asia

Clause 1: Collaboration Subject
1.Event Name: 2026 SDG Asia
2.Exhibition Dates: 09:00-17:00, August 27, 2026 - August 29, 2026
3.Venue: Zone A, B, C & D, Exhibition Hall 1, Taipei World Trade Center, No. 5, Section 5, Xinyi Road, Taipei City

Clause 2: Collaboration Period
The collaboration period is from the date of successful online registration to August 31, 2026
1.Move-in Date: Raw space booths - August 25, 2026; Standard booths - August 26, 2026
2.Move-out Date: August 29, 2026
3.The actual move-in and move-out times for exhibitors will be determined by the organizer in agreement with the exhibitors, based on the logistics schedule. If there are any changes, the organizer will inform the exhibitors in advance, and the exhibitors agree to cooperate and assist with the organizer's schedule.
4.Exhibitors agree to comply with all relevant exhibition regulations.

Clause 3: Exhibitor Registration and Payment Instructions
1.After submitting the exhibition application through the official event website, exhibitors will receive confirmation of participation eligibility following a review by the organizer. To complete the registration, exhibitors must send the signed and stamped original Exhibition Application Form to the following address: "Exposition Center, Taiwan Institute for Sustainable Energy, 2F-2, No. 188, Section 5, Nanjing East Road, Taipei City 105411, Taiwan".
2.Full Payment: Exhibitors who pay the full amount within 30 calendar days of signing the Exhibition Application Form will have their booth assigned in the order of payment received. Exhibitors cannot raise any objections for any reason regarding booth assignments.
3.Deposit: Exhibitors must pay a deposit of 20% of the total amount within 30 calendar days of submitting and signing the Exhibition Application Form. Failure to pay within this period will result in the forfeiture of the exhibition and booth reservation rights, and exhibitors cannot raise any objections for any reason.
4.Final Payment: Exhibitors must pay the remaining 80% of the total amount by July 3, 2026. Failure to pay the final amount by the due date will result in the cancellation of the exhibition rights, and the booth will be reclaimed by the organizer. The deposit will not be refunded.
5.Payment Information
(1)Exhibitors must make payments via wire transfer. To ensure proper documentation of payments, please follow the specified wire transfer instructions.
(2)If an exhibitor cannot attend after payment, neither the deposit nor the final payment will be refunded under any circumstances.
(3)Any wire transfer fees are the responsibility of the exhibitor and are not included in the exhibition fees.

(5)Unless otherwise agreed, if the exhibitor does not attend after making the deposit or final payment, they forfeit their rights and cannot request a refund.
(6)After completing the wire transfer, please email the receipt to facilitate the accounting process.
6.Electronic Invoices
(1)Electronic invoices (no paper version) will be provided.
(2)Invoices will be issued within two weeks of payment.
(3)Invoices will be issued based on the exhibitor's name and tax ID as specified in the Exhibition Application Form. If changes are needed, please provide the updated information in advance.
(4)Invoice item description: "Exhibition Registration Fee" (adjustable if needed).
(5)Invoices can be pre-issued upon request.
7.Booth Assignment
(1)Exhibitors must complete registration, pay the deposit, and submit the preferred booth selection form. However, the organizer cannot guarantee the availability of the preferred booth locations.
(2)Booth assignments will be based on booth size and the order of payment once at least 60% of the booths have been reserved. (The organizer reserves the final right to adjust booth arrangements to suit overall layout requirements).
(3)Booth assignment principles
A.According to the number of booths applied for.
B.According to the order of payment.
8.Withdrawal and Refunds
(1)Exhibitors who wish to withdraw after completing registration and payment must submit a written request to the organizer by July 7, 2026. The 20% deposit will not be refunded.

Clause 4: Collaboration Rights
1.Event Section
(1)The organizer is responsible for all event designs and execution, including setting up the event's official website. The organizer will ensure that all aspects of the event, exhibition, and activities comply with relevant laws and regulations.
(2)Exhibitors guarantee that the information and images provided to the organizer comply with all relevant laws and regulations and authorize the organizer to use this content for promotional materials related to the event.
(3)If there are any retail activities at the event, exhibitors must issue invoices. If a tax authority discovers that an exhibitor has failed to issue an invoice, the exhibitor will be solely responsible for any legal consequences.
(4)The organizer reserves the right to refuse participation to any products or companies that do not align with the theme of the event. This agreement serves as a binding contract between the exhibitor and the organizer. Should an exhibitor not meet the qualifications (including subleased exhibitors), the organizer has the right to refuse their participation. After registration, exhibitors cannot change the registered entity's name without written approval from the organizer. Failure to comply may result in denial of participation by the organizer.
(5)Exhibitors guarantee that the design, content, products, sales, and experience activities at their booths comply with relevant laws and regulations. If the products involve misleading origin labels, counterfeit trademarks, or suspected violations of patents, copyrights, or other intellectual property rights, the exhibitor must clarify the matter with the organizer and provide supporting documents from the rights holder.
(6)Exhibitors are prohibited from displaying products with false origin labels, counterfeit trademarks, or infringing on others' patents or copyrights. If any content or exhibits violate the theme of the event, involve illegal activity, harm public morals, or damage the event’s image, the exhibitor must make immediate improvements upon request from the organizer. Failure to do so may result in the removal of the disputed content or exhibits from the event.
(7)Exhibitors knowingly displaying infringing products (such as those confirmed by a court ruling or acknowledged by the rights holder) must proactively remove the items from display. If discovered by the organizer during the event, the same actions will apply.
(8)Exhibitors are not permitted to display products under a different brand or company name than originally registered without the organizer's prior approval.
2.Exhibition Booth Section
(1)Exhibitors are responsible for the design and layout of their booths in alignment with the event's theme.
(2)Booth selection is scheduled to begin in Mid-May, 2026. The order of selection will be based on the number of booths requested, with exhibitors who reserved more booths given priority. In case of a tie, the order of payment will be considered. However, the organizer retains the final right to adjust booth assignments according to overall planning needs, and exhibitors agree to cooperate with any adjustments.
(3)The organizer will provide exhibitors with the "Exhibitor Manual" by June 15, 2026 (Monday). Exhibitors must follow the guidelines outlined in the manual and adhere to any venue-specific rules and restrictions provided by the organizer when designing and setting up their booths. Exhibitors must also coordinate with the organizer to adjust booth layouts and installations as needed, ensuring the best visual presentation, visitor flow, and interactive experience for the event.
(4)Exhibitors are responsible for all construction, teardown, and insurance (including, but not limited to, accident insurance) for the booth during the event. If an insurance incident occurs and the exhibitor has not obtained adequate insurance coverage, the exhibitor will bear all compensation responsibilities unless the organizer is found to be directly responsible for the incident.
(5)Exhibitors are responsible for booth setup, manpower, experiential activities, disposal of large design materials, and restoring the venue to its original state after the event.
(6)The organizer is responsible for general waste disposal in areas outside of the exhibitors’ booth zones during the exhibition, but is not responsible for the disposal of large design materials (e.g., foam boards, PVC posters, mounting boards, woodwork, iron frames, decorations, etc.) generated by the exhibitors. If exhibitors fail to clean up their booth areas, the organizer may arrange for cleaning and charge the exhibitor for the associated costs. (Actual penalties and fees may be included as an appendix).

Clause 5: Intellectual Property Rights
All thematic designs, planning content, and exhibition production for this event are the intellectual property of the organizer or have been legally authorized. Exhibitors may not use, modify, repurpose, transfer rights, or authorize third parties to use any such materials without the written consent of the organizer. Additionally, exhibitors are prohibited from engaging in any sales activities involving these materials.

Clause 6: Confidentiality Obligations
1.Both the organizer and the exhibitor are obligated to maintain confidentiality and handle with care all event-related information obtained from the other party under this agreement, as a prudent manager would. They must properly safeguard all event-related data and any other information they become aware of or possess due to this agreement. Without the other party’s consent or unless necessary to fulfill contractual obligations related to the event, neither party may disclose, transfer, or allow any third party to become aware of such information.
2.The confidentiality obligations stipulated in this clause shall remain in effect even after the expiration, termination, revocation, or invalidation of this agreement.

Clause 7: Breach of Contract and Termination
1.Except in cases of natural disasters, catastrophes, human-induced events, force majeure, or other causes not attributable to either party, and subject to mutual agreement, neither party may unilaterally terminate their rights to this event. (Further details to be discussed among all parties).
2.If either party violates any provision of this contract and, after being notified to rectify the breach, refuses to do so or causes irreparable harm to the other party, the breaching party shall be liable for damages incurred by the other party.
3.The event venue usage must comply with the "TAITRA Exhibition Venue Decoration and Operation Guidelines" (please refer to: TWTC website twtc.com.tw → "Event Venues" → "Download Section"). The organizer reserves the right to modify and announce updates, and exhibitors are obligated to stay informed of the latest content and comply accordingly.
4.If an exhibitor improperly uses the exhibition area or related works, thus violating the event venue usage regulations, the venue's management authority (TAITRA) may impose penalties in accordance with the venue usage regulations. The fines shall be borne by the exhibitor (penalty amounts will be determined on a case-by-case basis by the venue management authority and may be imposed consecutively). If the exhibitor refuses to rectify the issue, the organizer may cancel the exhibitor's participation and seek compensation for any damages incurred (including but not limited to reputational damage).

Clause 8: Relationship Between the Parties
1.This agreement does not establish a partnership between the organizer and the exhibitor. Neither party shall have any obligations or rights regarding the business operations of the other party.
2.Except with the written consent of the other party, neither the organizer nor the exhibitor has the authority to represent the other party in fulfilling any obligations or to make any commitments or incur any debts on behalf of the other party.

Clause 9: Other Provisions
1.This regulation document encompasses all agreements between the organizer and the exhibitor. Any modifications or additions must be made in writing by both parties.
2.For matters not addressed in this regulation document, both parties shall adhere to the principles of good faith and relevant legal regulations.
3.The organizer may not transfer or assign any rights or obligations under this agreement to any third party without the written consent of the exhibitor.

Clause 10: Jurisdiction
In the event of any disputes arising from this collaboration, both parties agree that the Taipei District Court in Taiwan shall have exclusive jurisdiction as the court of first instance.

Personal Data Usage Statement(Required)

In order to comply with the Personal Data Protection Act and safeguard your rights, the organization is required to inform the applicant of the following in accordance with Article 8 of the Personal Data Protection Act (referred to as "PDPA"):

Purpose of Data Collection: Registration for this event, subsequent communication, and payment matters.

Types of Personal Data Collected: Personally identifiable information (including name, address, phone number, email address, etc.). Your personal data will not be disclosed to third parties or used for purposes other than the collection purpose without your consent.

Period, Region, Recipients, and Method of Personal Data Usage: The personal data you provide will be used by necessary personnel within the organization for the execution of this event in a manner required for its operation.

Rights and Methods under PDPA: In accordance with Article 3 of the PDPA, after confirming your identity as a participant, you have the right to request the organization to access, review, provide copies of, supplement, correct, cease collecting, processing, or using, or request the deletion of all or part of your personal data.

Freedom to Provide Personal Data: Applicants have the freedom to choose whether to provide relevant personal data. However, if applicants refuse to provide the required personal data, they will not be able to use system features that require login.
